I know the fine print isn’t the most exciting part of planning your photography session, but this page is here to help everything run smoothly. It outlines the important details about booking, payments, cancellations, and what you can expect when working with me.


I’ve written this in a way that’s easy to follow, so you won’t have to wade through confusing jargon. My goal is to be transparent and make sure we’re on the same page, so your experience with Wildflower Stories is as simple, relaxed, and enjoyable as possible.


By booking a session with me or contacting me for more information, you’re agreeing to these terms and conditions.

Booking & Payments

How do we book a session with you?

A.Booking your session with me is easy and hassle-free! Simply click any of the "Book Your Session" buttons on my website to head over to the booking site. There, you can choose your preferred date and time for your family session.

To secure your date, you’ll be asked to make the session fee payment, and then I’ll send over a questionnaire and contract for you to complete. Once I’ve received your payment, questionnaire, and signed contract, I’ll personally reach out via email to confirm everything and answer any questions you might have.

I’m here to make sure everything runs smoothly, so you can focus on looking forward to your session!

What is the booking fee, and is it refundable? [Family Photography]

A.Session Fee: The session fee is £150.00 and is required to secure your booking. This fee covers your session only and does not include any photos, prints, or products. These can be purchased separately after your session.

Non-Refundable Fee: The session fee is non-refundable. This reflects the time and effort that go into planning and reserving your session.

Rescheduling: If you need to reschedule, there is no additional charge. Rescheduling requests must be made at least 3 days before the scheduled session and are subject to my availability.

What is the booking fee, and is it refundable? [Branding Photography]

A.Pricing and Payment:

Seedling Session: £175.00

Bud to Bloom Session: £350.00

Full Bloom Session: £650.00

Full payment is required at the time of booking to secure your session. Pricing includes your session and a specified number of professionally edited images, as outlined in your chosen package.

Refund Policy: In the event of cancellation, the full amount will be refunded minus a £150.00 fee to cover the preparation and planning already undertaken.

Rescheduling: Sessions can be rescheduled at no extra charge. Please provide at least 3 days notice.

What is the booking fee, and is it refundable? [Wedding Photography]

A.Pricing: The total cost for wedding photography is £1000.00.

Deposit: A 25% deposit (£250.00) is required to secure your wedding date. This deposit is non-refundable and ensures my availability for your special day.

Final Payment: The remaining balance (£750.00) is due 2 weeks before the wedding date. Failure to pay the balance on time may result in cancellation of the booking.

Rescheduling: If your wedding date changes, I will do my best to accommodate your new date without additional charges. However, this depends on my availability.

What payment methods do you accept?

A.I accept PayPal, credit cards, and debit cards to keep things simple and convenient for you.

Are there any additional costs beyond the session fee?

A.For family sessions, the session fee covers the time and photography itself but doesn’t include any images or products. After the session, you'll be able to view your images and choose the ones you’d like to purchase. You can opt to purchase individual images, or if you’d like the full gallery, I offer it for £500. This gives you the flexibility to choose only the photos you love, with the option to purchase all the images if that’s what you prefer.

For branding clients, the package cost includes a set number of images, which is detailed on the service page. If you’d like to add more images after the session, these can be purchased as extras.

For wedding clients, the package cost includes all of your edited images, so there are no additional fees for the photos themselves. However, if you’d like to order any products such as albums, frames, or prints, those would be available for an additional cost.

I want to make sure you get exactly what you’re looking for, so everything is designed to offer flexibility based on your needs and preferences.

Do you charge a travel fee?

A.I’m happy to travel to clients within 50 miles of Keelby, a small village on the outskirts of the Lincolnshire Wolds, with no additional travel fee. If your location is further than 50 miles, there will be an additional travel fee. This will be discussed with you at the time of booking, so there are no surprises.

Cancellations & Refunds

Can I reschedule my session? If so, how many times?

A.Yes, you're welcome to reschedule your session once, free of charge. If you need to reschedule again, there will be a session fee of £150.00. I completely understand that life happens, so if you have a special circumstance, please feel free to get in touch, and I’ll do my best to help out.

What happens if you have to cancel the session?

A.If I ever need to cancel a session, I will provide a full refund. For weddings, I understand how crucial it is to have a photographer for your special day. If I find myself in a situation where I absolutely must cancel (which I would do everything in my power to avoid), I will personally arrange for an alternative photographer to cover your day.

Do you offer refunds if I’m not happy with the photos?

A.I truly hope you love your photos, and I always aim to make sure they reflect the style you see on my website. Before booking, I recommend taking a good look at my portfolio to ensure my style aligns with your vision. If there’s something you’re not happy with and it can be fixed through editing, I’ll be more than happy to make adjustments.

If I’ve made a mistake, I’ll offer to reshoot the session, no questions asked. However, if the feedback is more about personal preferences or small details, I may not be able to offer a refund. My priority is to make sure you feel completely comfortable and happy with the photos, so if you have any concerns, I’ll always do my best to help.

What happens if I need to cancel my session after I’ve already paid the deposit or full session fee?

A.The session fee acts as a non-refundable retainer, securing your booking. If you need to cancel:

For branding sessions, you’ll receive a refund minus a £150.00 cancellation fee.

For weddings, the £250.00 deposit is non-refundable, but any additional payments made beyond the deposit may be refunded depending on the timing of the cancellation.

Can you refuse to provide a session if I book one?

A.Yes, I reserve the right to refuse or cancel a session at my discretion. This is typically only in rare situations where the client behaves in an inappropriate or disruptive manner. My goal is to ensure that all sessions are enjoyable and respectful for everyone involved, so if there are any concerns, I will address them in advance.

What happens if an unforeseen event, such as extreme weather or a natural disaster, affects my session?

A.In the case of force majeure—such as severe weather, natural disasters, or other unforeseen events—I may need to reschedule your session. I will make every effort to offer a suitable alternative, but if this is not possible, I will work with you to find a fair solution, keeping your best interests in mind.

What happens if something outside of your control prevents you from delivering the session or photos?

A.While I always aim to provide a smooth and seamless experience, unforeseen circumstances, such as illness, accidents, or equipment failure, may prevent me from fulfilling the session. In the rare event that I am unable to attend or deliver your session as planned, I will do my best to reschedule, but please note that I cannot be held liable for any financial loss or inconvenience caused by such events. A full refund will be provided.

Session Details

What happens if the weather is bad on the day of our session?

A.If it’s raining, I’ll contact you to reschedule. My goal is to create the best photos possible, and I know that isn’t always achievable when the weather isn’t cooperating.

I usually check the forecast the day before to stay prepared and will confirm with you on the morning of the session if we need to adjust our plans. We’ll find a new date that works perfectly for you.

How do you handle late arrivals?

A.If you’re running late, please let me know as soon as possible. If I don’t hear from you and you’re more than 20 minutes late, I’ll unfortunately need to leave the location, and I won’t be able to reschedule or refund the session fee.

If you do contact me to let me know you're running late and provide an estimated arrival time, I’m more than happy to wait for you. I understand that life happens! While I’ll do my best to ensure your late arrival doesn’t eat into your session time, please keep in mind that I schedule sessions around sunset. If we lose valuable light, the session may naturally be cut short, so I recommend arriving on time to make the most of our time together.

How soon will we receive our photos after the session?

A.You can typically expect your gallery within two weeks of your session date. During busier times of the year, it might take a little longer, but I’ll always keep you updated so you know what to expect.

For weddings, I recommend allowing up to 5 weeks for your gallery to be ready, as there are a larger number of images that need to be edited.

If you need your photos by a specific date—maybe for a special event or gift—just let me know when you book your session. I’ll do my best to plan ahead and ensure you have them in time.

Can I bring additional people or pets to the session?

A.Absolutely! I love when clients bring extended family, grandparents, and pets. For branding sessions, I’m also happy for you to include your family—after all, my business is all about family and connections. I completely understand that small businesses may want to showcase their families as part of their branding. However, for the Seedling branding session, which is a shorter 30-minute session designed to capture a few key photos, it’s best for the business owner alone to attend due to the limited time. If you'd like your family to be included, the Bud to Bloom session would be a better fit.

Are there any responsibilities I need to be aware of before and during the session?

A.Yes! Please arrive on time, and ensure everyone involved in the session is aware of the details and consents to being photographed. If you have pets with you, please make sure they are well-behaved and under control during the session. It’s also important to communicate any specific requests or concerns ahead of time so that we can plan accordingly.

What happens if there is a dispute between us regarding the session or photos?

A.If any disputes arise, I encourage open and honest communication to resolve the issue in a friendly and respectful manner. If we are unable to come to a resolution, mediation or arbitration will be pursued before any legal action is taken. My goal is always to ensure that you’re satisfied with your experience.

Liability

Am I responsible for my own safety during the session?

A.Yes, you are responsible for your own safety, as well as the safety of your guests and any pets accompanying you during the session. While I take every precaution to ensure a safe and comfortable experience, I cannot be held liable for any accidents, injuries, or damages that may occur.

What happens if personal property is lost or damaged during the session?

A.I am not responsible for any loss or damage to personal property or belongings you bring to the session, including clothing, equipment, or personal items. Please ensure that your valuables are properly cared for during the session.

What if something unexpected happens and the session can't go ahead?

A.In the case of unforeseen events such as extreme weather, illness, or accidents that prevent the session from taking place, I will do my best to reschedule your session at a time that works for you. However, I am not liable for any financial loss or inconvenience caused by such circumstances.

Image Usage & Copyright

Who owns the rights to the photos?

A.I retain the copyright to all photos taken during your session. This means I own the rights to the images, but you’re welcome to use them for personal purposes, like sharing on social media or printing for your home.

Can I print my photos or make copies?

A.If you’ve purchased prints directly from me, these are for personal use only, and making copies of the prints is not permitted. If you'd like additional prints or digital files, you’ll need to come to me for those. I’ll be happy to provide extra prints or offer the digital files for purchase, ensuring you get the best quality.

Can I share the photos on social media?

A.Yes, feel free to share your photos on social media! I’d love it if you tagged me or mentioned Wildflower Stories when posting, so others can find me, too.

Can I use the images for my business or website?

A.If you’re using photos for branding or marketing purposes, let me know! For some sessions, such as branding sessions, this is part of what we’ve planned. For others, additional permission might be required. I’d be happy to discuss the usage rights.

What if I want to sell or license the photos?

A.Selling or licensing the photos is not permitted without my prior written consent. If you’re interested in licensing images for commercial use, please let me know, and we can discuss terms.

Can I edit or alter the photos?

A.Please don't alter or edit the photos yourself, as this can affect their quality. If you need specific edits or adjustments, let me know, and I’ll be happy to help.

What happens if I lose or accidentally delete my photos?

A.I aim to keep your photos for as long as possible, but I guarantee that your images will be stored safely for at least one year after your session. After that, while I’ll do my best to recover any lost or deleted photos, I can’t guarantee they’ll still be available. To ensure you don’t lose your memories, I recommend saving and backing up your photos as soon as you receive them. If you need to re-purchase images after the one-year period, I’ll do my best to accommodate, but please note that availability may not always be guaranteed.

Do you use my photos on your website or social media?

A.I may showcase your photos on my website or social media, but I’ll always ask for your permission first. If you’d prefer not to have your images shared publicly, just let me know when booking.

Can I share my gallery with family members or friends directly?

A.I only share gallery details with the client who has booked the session. If you would like to share the gallery with family members or friends, it’s entirely up to you to provide them with the details. For privacy and security reasons, I do not release gallery links directly to anyone other than the person who booked the session.

Privacy & Data Protection

What personal information do you collect?

A.I collect personal information such as your name, email address, phone number, and any other details required to provide the services you've booked. This helps me ensure a smooth and personalised experience for you, and allows me to communicate with you regarding your session, payments, and final products.

How do you use my personal information?

A.Your personal information is used solely for the purpose of providing my photography services, including booking, communication, delivering photos, and processing payments. I will not share your personal information with third parties, unless required by law or with your consent. Any personal data collected during the booking process will be treated in accordance with GDPR (General Data Protection Regulation).

Do you share my personal data with third parties?

A.I do not share your personal data with any third parties for marketing purposes.However, I use Pixieset to deliver your photos, manage your galleries, and process print orders. Pixieset is a trusted platform that takes data protection seriously. They store your images securely and provide a user-friendly platform for you to view and download your photos. By using Pixieset, your personal data, including email addresses, order details, and photos, may be stored in their system.

How do you protect my personal information?

A.I take the privacy and security of your personal information seriously. I use industry-standard practices to protect your data, including secure websites, encrypted payment processes, and proper handling and storage of physical and digital files.

Can I ask to see, change, or delete my personal information?

A.Yes! You have the right to access the personal information I hold about you, request corrections, or ask for it to be deleted. Please reach out to me via email if you’d like to make a request, and I’ll be happy to assist you.

How long do you keep my personal information?

A.I will retain your personal information only for as long as needed to fulfill your order and provide you with the services you’ve requested. For example, photos will be stored for at least one year, but personal details may be kept for a longer period as required for business records or legal purposes.

What about my photos? Are they safe?

A.Your photos are stored securely and backed up to prevent loss. However, I cannot guarantee they will be available indefinitely. I recommend you download and back up your images once they’ve been delivered to you. After one year, I will make every effort to preserve your photos but cannot guarantee their availability after this period.

Do you use cookies on your website?

A.Yes, like most websites, I use cookies to enhance your browsing experience. Cookies help track website usage to improve the functionality of the site and provide relevant content. You can adjust your cookie preferences in your browser settings if you prefer not to have cookies stored on your device.

The Wildflower Initiative

What is The Wildflower Initiative?

A.The Wildflower Initiative is a special program where, as part of your photography session, you’ll receive a packet of wildflower seeds to plant and nurture. This initiative encourages sustainability, connection with nature, and an ongoing relationship with Wildflower Stories. Each year, you’ll have the opportunity to book a mini session or receive a discounted full session, as a reward for your continued commitment to growing and nurturing the wildflowers.

Do I need to plant the wildflower seeds?

A.Yes, the initiative is designed to promote growth and sustainability, so it’s important that you plant the seeds you receive. This aligns with the core values of the Wildflower Initiative: connection with nature, nurturing growth, and preserving wildlife. I encourage you to care for your wildflowers and enjoy watching them grow each year.

What happens if I don’t plant the seeds or don’t participate in the initiative?

A.Participation in the Wildflower Initiative is optional, but if you choose to participate and receive the seeds, I encourage you to plant them. If you don’t plant the seeds or choose not to participate, it won’t affect your experience with Wildflower Stories. However, to receive future mini sessions or discounted full sessions, I ask that you engage with the initiative by planting and nurturing your wildflowers.

How do I participate in the Wildflower Initiative?

A.Once you’ve received your packet of wildflower seeds after your session, simply plant and care for them. You’ll be able to share your wildflower progress with me each year, and I’ll offer you a mini session or discounted full session as a thank you for nurturing the wildflowers. You can share progress photos on social media or directly with me to participate.

Can I participate in the Wildflower Initiative with a branding session or wedding session?

A.Yes, you can participate in the Wildflower Initiative with any of my services, including family, branding and wedding sessions.

How do I receive my free mini session or discounted full session?

A.After planting and nurturing your wildflowers, you will have the opportunity to book a mini session each year to document the growth of your wildflowers and your family. A full session discount is available if you choose to book a full session instead of a mini session. To take advantage of these sessions, please share your wildflower progress with me either through photos or social media, and I’ll arrange the session with you.

Are there any additional costs associated with the Wildflower Initiative?

A.No, there are no hidden fees for participating in the Wildflower Initiative. The wildflower seed packet is included in your session price. The only additional costs would be if you choose to purchase extra prints or digital images during your session, as per your photography package. The mini sessions and discounts are offered as a part of the initiative for those who actively participate.

How long will the Wildflower Initiative last?

A.While the Wildflower Initiative is a long-term commitment, I currently plan to continue it indefinitely. However, I may make changes or discontinue the initiative at any time. If any changes are made, I will notify participants in advance so that they can still enjoy their rewards. The Wildflower Initiative is meant to create a lasting relationship with my clients and encourage a sense of connection with nature.

What if my wildflowers don't grow or don't survive?

A.Wildflowers are a part of nature, and while I hope for success, I understand that sometimes things don't go as planned. If your wildflowers don’t grow or don’t survive, you’re still welcome to continue participating in the Wildflower Initiative. I encourage you to try again the following year—nature can be unpredictable, but the goal is to foster a connection with the environment and enjoy the experience.

What happens if I don’t keep in touch or share my wildflowers with you?

A.To ensure that you can take full advantage of the Wildflower Initiative and book your mini session or discounted full session, I ask that you keep in touch and share the progress of your wildflowers with me. If I don’t hear from you, I may not be able to track your participation, but I’ll always do my best to reach out and ensure you have the opportunity to benefit from the initiative.

What if I no longer want to participate in the Wildflower Initiative?

A.If you decide that you no longer wish to participate in the Wildflower Initiative, simply let me know. I’ll respect your decision and remove you from the initiative going forward. You can still book photography sessions as usual without participating in the initiative.

Amendments to Terms and Conditions


I reserve the right to amend or update these terms and conditions at any time without prior notice. Any changes will be posted on this page, and it’s your responsibility to review the terms before booking a session. By booking a session after any amendments, you agree to the updated terms and conditions.
